Post: Promotions & Breed Development Officer / Breed Secretary

The Bleu du Maine Sheep Society are seeking to engage a person capable of undertaking the following duties, this is a possible job share opportunity.

 

1. 1    PROMOTION OF SOCIETY (PART 1)

  • To actively promote the Bleu du Maine & Millennium Bleu breed through attending NSA Sheep events, shows and sales and social media via Facebook, Twitter and Instagram.
  • Booking trade stand sites at the Sheep events as directed by Council & liaising with members regarding the supply of sheep to the events etc.
  • Ensuring promotional material, stands etc are supplied to events
  • General enquiries
  • Reporting show & sale results
  • Developing membership materials - welfare, management, production, breeding etc.
  • Managing member meetings and organising the Annual dinner at the AGM
  • Organising the Autumn Conference, hotel bookings etc, as directed by Council.
  • Printing and distribution of the flock book or year book
  • Ordering, storing and managing merchandise

 

2. MANAGEMENT OF SOCIETY AFFAIRS. (PART 2)

  • Servicing the board and committees to the board
  • Maintaining the information required for the Charities Commission and filing Annual returns
  • Maintaining the information required by Companies House (the Society is a Limited Company) and filing Annual returns
  • Submitting quarterly VAT returns
  • Developing marketing and other promotional materials
  • Accountancy and management of funds
  • Liaising with Defra, NSA, other bodies and organisations
  • Insurance
  • Paying suppliers

 

 

2.1     MANAGEMENT OF THE MEMBER DATABASE:

  • Log all changes of address or other details to keep the database up to date
  • Collect membership renewals, issue and send reminders
  • Send out enquiry packs to people buying stock
  • Maintain the ‘on line’ database

 

2.2       MANAGEMENT OF THE FLOCK BOOK REGISTRY

 

  • Log all births, issue and send appropriate certificates, receipts and / or invoices
  • Maintain the flock book data ‘on line’
  • Create the flock book registry and membership list pages ready for publication
  • Log all transfers and send appropriate certificates, and in the case of non member purchasers, send introductory materials and membership information.

 

3.1    MANAGEMENT OF BOOK KEEPING

  • Raise invoices for registrations, transfers and subscription renewals, log, receipt and bank income
  • Send statement and reminder to late payers
  • Maintain all account records pertaining to registration, membership and all general accounts as required
  • Reconcile relevant items on the bank statements including DD/SO payments
  • Produce monthly income report for the treasurer
  • Run Grassroots end of year accounts after all accounts are reconciled
